Data Privacy Information according to Art. 13, 14 and 21 GDPR.

 

Management Registration Data

The Bernstein Network Computational Neuroscience takes the protection of your personal data very seriously. As organizers of the Bernstein Conference we take responsibility for data safety and security. Therefore, we would like you to know why we collect data, which data we collect, and how we use them.

In accordance with our statutory mission, we organize the Bernstein Conference to promote scientific communication and cooperation (Statutory Mission Statement: §2, paragraph 3.1). Your data will not be used for automated decision-making or profiling.

Registration for the Bernstein Conference 2026 is realized by smartEvents GmbH. They provide a detailed privacy policy during the registration process.

If you participate in the Bernstein Conference, smartEvents GmbH, the Bernstein Coordination Site (BCOS), the organizers of the PhD Symposium, and the organizers of the Postdoc Meeting may process the personal data that you provide during registration:

  • Last name, first name
  • Academic status
  • E-mail address
  • Affiliation
  • Country

The personal data you provide will be processed exclusively in connection with your registration. This processing is necessary for the organization of the event, including managing the registration process and issuing certificates of participation afterwards. The data will be stored on the Bernstein Coordination Site’s password-protected in-house servers. We will process and store your data for as long as is necessary to fulfil the above-mentioned purposes, particularly our contractual and legal obligations. Once this is no longer necessary, the data will be deleted on a regular basis. It is contractually agreed that your personal data will only be used in connection with the Bernstein Conference 2026, the PhD Symposium 2026, and the Postdoc Meeting 2026. No data processing takes place outside the EU or EEA.

Funding organizations may require participants’ data for the post-event reporting. For example, according to the terms and conditions of the conference grant allowance for the Bernstein Conference, the German Research Foundation (DFG, Kennedyallee 40, 53175 Bonn) requires the list of participants after the event. It will contain the following information:

  • Last name, first name
  • Academic status
  • Affiliation
  • Country

The Bernstein Coordination Site will pass on the required data accordingly.

Privacy Statement Photos/Screenshots/Films

In accordance with Articles 6 and 7 of the GDPR, your personal data (i.e., pictures and screenshots containing your image) will be processed in line with the provisions of the General Data Protection Regulation (GDPR) and the Federal Data Protection Act (BDSG). You can revoke your consent at any time. Simply send an email to bernstein.pr@fz-juelich.de to do so.

The following data will be collected/created and processed: 

  • Photographs 
  • Video recordings 

Your personal data will not be passed on to third parties. Your data may appear on the website of the Bernstein Network Computational Neuroscience (www.bernstein-network.de) as well as the network’s social media accounts, as stated in the Data Protection Declaration on the Bernstein Network homepage. Your data will not be transferred to any agents outside the EU.

We will process your personal data for the duration of the Bernstein Conference or the advertising period for the event, whichever is longer. The specified storage or documentation periods are up to ten years. The storage period is also assessed according to statutory limitation periods, and we regularly check whether data can be deleted.

You have the right to access information about your data in accordance with Art. 15 GDPR, the right to correction in accordance with Art. 16 GDPR, the right to deletion in accordance with Art. 17 GDPR, the right to restriction of processing in accordance with Art. 18 GDPR, the right to object to collection, processing and/or use in accordance with Art. 21 GDPR, and the right to data transferability from Art. 20 GDPR.

You have the right to appeal to a data protection supervisory authority (Art. 77 GDPR).
